Workwear tenders: what carbon footprint they ask for

Workwear tenders increasingly ask for environmental information on the product, and the carbon footprint per style can be one of them. Tender documents vary, so what helps is having the figure calculated before the deadline is published, with value, calculation boundary, standard and a way to check it.

Public buyers and large companies that tender for workwear usually buy many units of few styles. That means any environmental criterion they ask for affects the whole order.

  1. TenderWhat environmental data is requested and how it is scored.
  2. DocumentationData sheet, composition, weight and processes per style.
  3. CalculationPhysical factors per style.
  4. CertificateValue, boundary, standard and registration number.
  5. BidThe figure attached, with no last-minute rush.

What do they usually ask?

Tender documents differ, but there is a pattern. They usually ask for environmental information on the product and, in some cases, a carbon footprint value. When asked, the question is the same as in what your customer expects: value per unit, calculation boundary, standard and a way to check it.

Why is the deadline the hard part?

Because a tender deadline is short and the calculation needs technical documentation: garment data sheet, composition, weight, processes and transport. Whoever arrives with the figure already done does not depend on gathering everything in the last few days.

What advantage does per-style data give?

A work garment can vary by fabric, dyeing or destination. A sector average does not describe your style; per-style data does, and it is defensible against a buyer’s question. That is what the per-shipment certificate provides.

How to prepare

  1. Pick the styles you tender with most.
  2. Gather data sheet, composition, weight and processes.
  3. Calculate with physical factors and keep the certificate.
  4. Update it when you change fabric or supplier.

What should you check in the tender documents?

  • Whether a footprint value is requested or only environmental information.
  • The unit (per garment, per set, per batch) and the calculation boundary.
  • The standard required or accepted, and how it is evidenced.
  • Whether the figure is scored (points) or an admission requirement.
  • The deadline for submitting documentation and whether corrections are allowed.

Why prepare before a tender appears?

A calculation per style does not depend on any tender. If you already have the figure for your main styles, each new tender comes down to checking the unit and boundary they ask for. With Xain, the calculation takes 2 to 3 hours and the verified certificate arrives in 2 to 3 business days, but that lead time is much more welcome when it does not coincide with bid week.

What if the tender or the garment changes?

A figure is valid for the style it belongs to. If you change fabric, dyeing or supplier, recalculate that style. Each certificate should state which version of the garment it refers to.

One figure, several tenders

A certificate by style, colour or destination lets you reuse the calculation across several bids and answer different buyers without redoing it. It is the idea behind the per-shipment certificate: the figure travels with the product.

What can you do this week?

Review the last two or three tenders you bid on or discarded and note what environmental information they asked for. You will see a pattern: the unit, the boundary or the way to evidence the figure repeats almost every time. With that list you can decide which styles are worth having calculated in advance.

Then gather, for those styles, the technical documentation in a folder that anyone on your team can find: data sheet, composition, weight, fabric supplier and processes. When a new tender appears there will be nothing to hunt for: you will only need to check whether what they ask for matches the figure you already have or whether the boundary or unit must be adjusted.

How does Xain help?

Xain calculates the footprint from the data sheet and processes of each garment, with physical factors and a method verified by LRQA. The result is a certificate with a unique registration number that you can attach to the bid. If you have a tender coming up, write to us with the submission date.

Frequently asked questions

What companies usually ask before getting started.

Is it mandatory to submit the footprint in a workwear tender?

It depends on the tender document. Some require it and others assess it as a criterion. Always read the specific document.

Which figure do they usually expect?

A value in kgCO2e per unit, the calculation boundary, the standard applied and a way to check it.

How long does it take to have the figure?

With Xain, the calculation takes 2 to 3 hours and the verified certificate is delivered in 2 to 3 business days, from the technical documentation.
